Milestone Billing & Refund Standards

Published by Codeaxe Technologies · Remote-First Engineering

Effective: July 2026
What is this refund policy?

This policy outlines the financial terms, milestone settlement procedures, and cancellation guidelines for custom engineering contracts.

Why is this included?

To maintain fair, predictable commercial relationships and ensure clients pay only for verified deliverables and agreed milestones.

01

Milestone-Based Engagement Model

What this means

An explanation of how software development projects are structured into discrete sprint milestones with progressive approvals.

Why it is included

To ensure payment corresponds directly to verifiable deliverables and agreed engineering milestones.

Codeaxe Technologies delivers custom software engineering services structured around phased milestones defined in a bilateral Statement of Work (SOW). Payments are scheduled according to tangible deliverables such as wireframes, frontend prototypes, API integration, and staging deployment.

Because engineering hours and computational resources are dedicated specifically to your custom architecture, refund eligibility is assessed against the delivery status of individual milestones.

02

Refund Eligibility & Conditions

What this means

The precise criteria under which a client is eligible for a milestone refund or partial reimbursement.

Why it is included

To provide objective, fair standards for both clients and engineers.

A refund request will be reviewed and considered if: (a) a milestone was paid in advance but engineering work has not commenced; or (b) the delivered milestone materially deviates from documented technical requirements and our team is unable to remediate it within the agreed revision window.

Refunds are not granted for changes in client business direction, subjective design preference shifts after approval, or scope expansion beyond the initial SOW.

03

Refund Request Submission Process

What this means

Step-by-step instructions on submitting a formal refund or billing inquiry.

Why it is included

To ensure clear, documented, and swift handling of payment reviews.

To initiate a review, submit a written request to support.codeaxe@gmail.com detailing the project title, milestone invoice number, and the specific discrepancy.

Our engineering leadership and accounts team will acknowledge receipt within 24–48 hours and provide a comprehensive written resolution within 7 business days.

04

Processing Timeframe & Payment Method

What this means

The schedule and channel for executing approved refunds.

Why it is included

To provide clarity on financial turnaround times.

Upon mutual agreement of a refund, funds will be released within 7 to 10 business days directly to the original bank account, card, or payment method utilized for the transaction.

Depending on interbank routing and payment gateway clearing cycles, international transfers may take an additional 3–5 business days to appear on your statement.

05

Non-Refundable Costs & Dedicated Infrastructure

What this means

Third-party expenses incurred on behalf of the project that cannot be refunded.

Why it is included

To prevent ambiguity regarding external third-party infrastructure and tooling fees.

Certain project expenses are strictly non-refundable, including dedicated cloud server hosting (AWS/GCP/Vercel fees), third-party API credits (OpenAI, Stripe, Twilio), purchased domain names, and third-party software licenses provisioned for the project.

06

Project Cancellation & Pro-Rata Settlements

What this means

Guidelines on how contracts may be terminated early by either party.

Why it is included

To ensure an orderly closeout and fair compensation for delivered code assets.

Clients may request project cancellation with written notice. In such cases, the client is responsible for hours worked and deliverables completed up to the cancellation notice date.

Any unearned advance payments for future uncommenced milestones will be refunded in full, and all source code and documentation completed up to that point will be handed over to the client.
